Construction Compliance Webinar: AI, Prequal & Integrations

The Future of Construction Compliance: AI, Prequalification & Connected Workflows

Five demos, one panel, and a clear message: vendor compliance works best when it starts before the contract is signed and stays connected to the systems you already run.

In our latest webinar, the teams at Billy and Calance walked through how vendor onboarding, ERP integrations, and AI are coming together into a connected construction compliance workflow. The session opened with a live look at vendor prequalification, moved through four integrations, and closed with an open Q&A. If you would rather see it live on your own data, you can book a demo any time.

Start with prequalification

Michael Roddy, Solutions Engineer at Billy, kicked off the demos with Vendor Prequalification and Custom Forms. His point was simple: a structured prequal process lets you assess a subcontractor on the criteria that matter before any work begins, and the approved vendor becomes the start of the compliance record rather than a separate intake.

“This allows you to get ahead of the eight ball. Our tooling enables you to review submissions in our system and approve them into the Billy Vendor directory seamlessly.”

Prequalification starts the compliance record: custom form on your site, documents collected upfront, review and approve in Billy, ongoing COI tracking

Highlights from the demo:

  • Custom forms on your own websiteBuild a tailored prequal form and embed it on your site, so subcontractors submit business details, legal information, and licenses directly.
  • Documents collected upfrontRequest W-9s, safety forms, and certificates of insurance as part of the submission, so nothing is chased down after the fact.
  • One-step review and approvalYour team reviews each submission in Billy, approves or benches the vendor, and assigns a requirement group in a single action. Approved vendors flow straight into ongoing COI tracking.

Compliance that lives inside your ERP

Much of the session focused on getting rid of double data entry by making Billy the compliance layer on top of the systems contractors already use.

Compliance sits on top of the systems you already run: Viewpoint Vista, Sage Intacct, Trimble ProjectSight, and QuickBooks Online stay in sync with Billy, and compliance status drives AP holds and releases

Viewpoint Vista

Available through the Trimble Marketplace, the Vista integration keeps vendor records in sync between the two systems and ties Billy’s compliance status to Vista’s AP Verify flag. Your accounting team keeps working in Vista; Billy collects, reviews, and renews the certificates behind that flag, so a vendor that looks fine in the ERP is actually covered. We covered the AP hold problem in more depth in Viewpoint Vista COI Tracking: Stop AP Compliance Holds.

Sage Intacct

Presented by Evan Hollier of Calance, the Sage Intacct integration syncs vendors, projects, and purchase orders or subcontracts from Sage Intacct, then writes compliance status back to the matching Intacct records. That status feeds Intacct’s payment hold and release logic, so non-compliant subs are held automatically and released the moment their documents are current. Setup takes about 20 to 30 minutes with our Sage Intacct configuration guide.

Trimble ProjectSight

Connect Billy to ProjectSight and your projects import automatically, with contracts and vendors attached. Every project in Billy mirrors what your field and PM teams already see, and compliance requirements can be applied the moment a project is created. For the full workflow, see Subcontractor Prequalification in Trimble ProjectSight.

QuickBooks Online Coming soon

QuickBooks Online is next on the roadmap. Once connected, Billy will import your vendor list automatically and pick up new vendors on the next sync, so every sub and supplier you pay already has a compliance record with no re-keying. QuickBooks stays untouched as the system of record while Billy tracks each vendor’s COI, W-9, and license. If you run on QuickBooks and want early access, book a demo and we’ll walk you through the timeline.

AI agents and the Billy MCP

The panel also previewed what’s changing in how Billy uses AI. The AI Review Assistant reads incoming COIs and endorsements line by line against your contract requirements, flagging gaps like a missing additional insured endorsement before a human ever opens the PDF.

Billy’s MCP server takes that a step further: it lets your team’s own AI tools, including Claude, Microsoft Copilot, and Procore AI, query vendors, projects, contracts, and compliance status directly, and take actions like sending certificate requests, without leaving the tools they already use. Not sure where to start? Try 12 things to ask an AI agent about your subcontractor compliance.

Questions from the audience

The session closed with an open floor. Attendees brought questions about their own vendor management setups, and the panel dug into how the tools apply in practice. That back-and-forth was one of the most useful parts of the hour, and it’s worth watching in full.

As we keep refining vendor management, the conversations from this webinar will shape what we build next. Stay tuned for more updates as these integrations and AI tools continue to evolve.

Meet us at Procore Groundbreak. The Billy team will be in Orlando October 20 to 22 for Procore Groundbreak 2026. If you want to see prequalification, the integrations, or the AI Review Assistant in person, book a time with us and we’ll meet you at the show.
