Billy Launches Trimble ProjectSight Integration to Automate Vendor Compliance for General Contractors

Project teams can now prequalify vendors in Billy and apply insurance requirements to every ProjectSight project, without re-keying data.

Billy, the vendor compliance software built for construction, today announced its integration with Trimble® ProjectSight® project management software. For users who elect to share their ProjectSight info with Billy, the integration connects Billy’s vendor prequalification and certificate of insurance (COI) tracking to ProjectSight, where project teams already manage contracts, drawings, RFIs and costs. This lets general contractors manage subcontractor and supplier compliance from prequalification through project closeout in one connected workflow.

Projects, contracts and vendors import from ProjectSight into Billy, and insurance requirements apply per project.

The problem: compliance lives outside the project

Although insurance typically accounts for 3 to 5 percent of a project’s costs, it remains largely a manual process on most jobs. Project managers run their jobs in ProjectSight, but certificates of insurance, W-9s, licenses, and prequalification questionnaires usually sit in inboxes, spreadsheets, and shared drives. New projects start without insurance requirements applied, vendors get re-keyed by hand, and documents collected during prequalification get collected all over again once a contract is signed.

How the Billy and ProjectSight integration works

  1. Vendor prequalification in Billy

A custom form on the contractor’s own website collects business details, W-9s, licenses, and COIs upfront. The contractor approves the vendor and assigns the project’s insurance requirements in one step.

  2. Automatic import from ProjectSight

Once the integration is configured, project, contract, and vendor information flows from ProjectSight into Billy. Billy pulls projects, contracts, and vendors from ProjectSight every hour, so new contracts become tracked vendors automatically.

  3. Project-based compliance

Insurance and document requirements are assigned per project, so Billy tracks every subcontractor against that project’s contract requirements.

  4. AI certificate review

Billy’s AI Review Assistant checks incoming COIs and endorsements against requirements and flags gaps, such as a missing additional insured endorsement, before someone opens the PDF.

  5. Automated renewals

Vendors are notified before coverage expires, keeping compliance status current for the life of the job.

Works with AI agents

Teams can connect Billy to an AI assistant such as Microsoft Copilot, Claude, or ChatGPT and ask, “Which vendors are non-compliant on Riverside Tower?” The assistant checks status and sends certificate requests, so compliance reviews run without anyone opening a spreadsheet.

Project teams shouldn’t have to leave ProjectSight to find out whether a sub is insured. With ProjectSight, a vendor is prequalified once in Billy, and that compliance follows them onto every project automatically. That’s how you track subcontractor insurance without a spreadsheet.
